Outbound Dialing Best Practices
A Quick Reference Guide
1. Stay Compliant
- Control contact frequency. Keep outreach to the same lead within recommended limits. A common guideline is no more than 3 attempts in 24 hours.
- Respect calling windows. Use your dialing and TCPA settings to help apply appropriate time restrictions by lead location, including stricter state requirements where applicable.
- Honor DNC and opt-outs. Process opt-out requests immediately and ensure those contacts are excluded from future outreach.
2. Protect Your Phone Number Reputation
- Optimize DID selection. Use Auto Pilot to leverage carrier intelligence and prioritize cleaner, better-performing numbers for outbound calls.
- Register your numbers. Build a trusted Caller ID presence by registering and maintaining verified phone numbers.
- Use local presence strategically. Proximity Matching can pair leads with numbers from familiar geographic areas, supporting stronger connection opportunities.
- Stay within the 75-call daily cap. Keep outbound activity at or below 75 calls per DID per day to avoid overworking individual numbers.
- Distribute volume across your pool. Spread outbound traffic instead of relying heavily on a small group of DIDs.
- Maintain a stable DID pool. Avoid constantly rotating numbers. Consistent usage helps build stronger calling history and reputation over time.
3. Manage Lead Cadence & Lifespan
- Pace your outreach. Aim for a consistent cadence of about 5–6 calls per lead each week, using SMS or email to maintain engagement without adding unnecessary call attempts.
- Know when to pause. Limit total outreach attempts and move unresponsive leads into a 30–60 day cooling period before considering future re-engagement.
- Keep your lead pool healthy. Maintain enough fresh leads to support daily dialing activity and reduce repeated contact with the same records.
- Clean up invalid leads. DNC NIS leads to prevent wasted dialing activity and keep your active lead pood foucsed on valid opportunities.
Quick formula: Weekly fresh leads ≈ (Daily Dials × 50%) + a 20% buffer on that baseline. For example, 50,000 daily dials points to roughly 30,000 fresh leads per week.
Remember: The goal is to keep your campaign moving with a healthy mix of fresh opportunities while avoiding over-contacting leads or overworking phone numbers.
